Job Purpose

Your responsibility as a Site Co-Ordinator is to oversee the administrative activities that facilitate the smooth running of an office, organising people, information, and other resources. You will ensure that office equipment is maintained to the appropriate quality and quantity, relevant records are up to date and all administrative processes work effectively. This role will report into The Executive Assistant with a dotted line into the Health & Safety/Facilities Manager.

Job Duties & Responsibilities

  • Reception duties – meeting and greeting guests, including guest sign in, organising car parking spaces, liaising with H&S Manager when work is to be carried out on site and ensuring that appropriate paperwork is completed
  • Post duties – sorting post/arranging courier services for parcels/taking post to the local post office
  • Update posters/visual displays – such as Public Liability Insurance Certificates/First Aiders/Fire Extinguisher certification and any H&S collateral
  • Manage DSE process for new starters (ensure DSE assessment carried out within first week) Arrange regular refresher training for DSE Assessors
  • Room bookings – cross site
  • Set up meeting rooms with tea/coffee for important meetings
  • Liaise with Landlords Facilities Teams for any facilities related queries – including issues with toilets/ communal areas etc
  • Assist EA with important meetings
  • Arrange appropriate welcome for new starters – as requested by hiring manager
  • Assist Marketing/Events Teams with Incentives/launches
  • Monitor and order stationery and cleaning supplies for all UK sites
  • Order PPE as requested by the Facilities Team
  • Carry out COVID Assessments for visitors
  • Support our partners / suppliers in catering services with promotion of services
  • Administration of EV Salary Sacrifice Scheme, ensuring vehicles are procured, payroll are updated, insurance MID system updated. Work with Legal and HR to ensure Salary Sacrifice Documents are signed and filed and DVLA checks carried out
  • Assist Health, Safety and Facilities department in undertaking Fire Safety and Housekeeping inspections.

Qualifications/Training

Essential:

  • knowledge of Microsoft Office Suite (Word, PowerPoint, Excel) and other commonly-used office packages

Desirable:

  • NVQ Level 2 in Business Administration or equivalent

Experience

Essential:

  • Experience of working in an Administrative/Reception role
  • Proficient in the ordering of Office Consumables and dealing with Suppliers
  • The ability to prioritise tasks and work under pressure (at times)
  • The ability to manage your workload
  • Excellent interpersonal, oral and written communication skills
  • Attention to detail
  • Flexibility and adaptability to changing workloads
  • A problem-solving approach to work
  • A basic understanding of health, safety, and facilities legislation including Workplace Regulations, Fire and COSHH.

Desirable:

  • Experience of working in a Reception/Admin/Facilities Role
  • At least 2 years Administrative Experience
  • Experience within a Facilities Function
  • Experience of providing Admin Support for Company Fleet Vehicle Schemes

Additional comments – location/travel/international travel
