What is the job about?

As a Business Administrator, your responsibility will be to oversee the administrative activities that facilitate the smooth running of the office, organising people, information, and other resources. You will ensure that office equipment is maintained to the appropriate quality and quantity. You’ll also maintain our relevant records and ensure that our administrative processes work effectively. You’ll have the opportunity to work with and support other departments when required. You’ll report into the Executive Assistant.

What exactly will you do?

  • Support our Directors and Executive Assistants with day-to-day admin support
  • Work with various departments within the company and support where required
  • Administration of EV salary sacrifice scheme and update all relevant departments with correct information and complete checks
  • Liaise with H&S manager when work is to be carried out on site and ensuring that appropriate paperwork is completed, and appropriate communication is sent
  • Assist the H&S and Facilities department in undertaking fire safety and housekeeping inspections
  • Provide an exceptional experience for all visitors to the site, which includes the ‘Meet & Greet’ of guests, ensuring a first class service is administered
  • Post duties: sorting post, arranging courier services for parcels, taking post to the local post office
  • Meeting room bookings – across sites and setting up when required
  • Assist with senior appointments and their joining experience, which includes their onboarding, and organising all relevant equipment, security passes etc.
  • Being the main point of contact for all parking permit process for colleagues/visitors for both Gateshead sites
  • Effectively look for opportunities that would help improve processes within NGP
  • Monitor and order stationery and cleaning supplies for all Gateshead sites
  • Provide absence cover when required

  • Proficient with Microsoft Office Suite or related software
  • Experience of working in an administrative/reception role
  • Excellent verbal and written communication skills
  • A good understanding of health, safety, and facilities
  • NVQ Level 2 in Business Administration or equivalent
